/ 01 · The challenge

Leads came in from the website, portals, and open-house sign-ins, and every one of them needed a human to decide whether it was worth pursuing. Agents were spending their best hours qualifying tire-kickers and manually sending follow-up emails.

The inconsistency was the real cost. Hot leads cooled while an agent was busy with a closing; lukewarm leads that needed three months of nurturing got one email and silence. Follow-up depended entirely on who caught the lead and how their week was going.

We created an automated lead scoring and nurturing system. Every inbound lead is scored against criteria the brokerage defined — budget signals, timeline, engagement behavior — and routed accordingly. Leads that are not ready for an agent enter personalized email sequences matched to where they are in their search.

When a nurtured lead's behavior crosses the ready threshold — repeated listing views, a mortgage calculator session, a reply — the system alerts the assigned agent immediately with full context. Agents make contact at the moment it matters, not three days later.

Lead-to-opportunity conversion rose 45%. Agents reclaimed 15 or more hours per week previously spent on manual qualification and follow-up, and redirected it to showings and closings.

For the first time, 100% of leads receive consistent follow-up regardless of which agent owns them or how busy the week is. The downstream effect showed up in the close column: a 28% higher closing rate, driven by leads arriving at agents warmer and better informed.
