/ 01 · The challenge

Onboarding a new employee touched HR, IT, security, facilities, and the hiring team — each with its own system and its own queue. The process was a relay race run by email, and the baton got dropped constantly: laptops arriving a week late, accounts not provisioned, compliance documents chased after the start date.

New hires routinely spent their first week unable to work, and HR carried real compliance risk every time a required document slipped through.

We designed an integrated onboarding automation system that coordinates the entire sequence. An accepted offer triggers document collection through DocuSign, account provisioning through Okta and ServiceNow, training assignments, and equipment requests — each step gated on its prerequisites and tracked centrally.

HR managers see a live dashboard of every onboarding in flight, and new hires get their own checklist view so they know exactly what to do before day one. Nothing waits on someone remembering to send an email.

Onboarding time dropped from two weeks to two days, and new employees now arrive to working accounts, configured equipment, and a clear first-week plan. Administrative errors fell 94%.
