/ 01 · The challenge
Patients were dropping out of the telehealth onboarding process before their first visit — forms abandoned, accounts half-created, intake never finished. Only 62% of patients who started onboarding completed it, which meant the group was losing more than a third of its demand to friction.
Behind the front door, disconnected systems made scheduling inefficient and follow-up care hard to manage. Staff bridged the gaps manually, and provider calendars carried both no-shows and unfilled slots.

We developed a telehealth automation system spanning the full patient journey. Onboarding became a guided, mobile-friendly flow with automatic reminders for incomplete steps. Scheduling intelligence books follow-ups at the point of care and backfills cancellations.
Pre-appointment questionnaires go out automatically and land in the chart before the visit, so providers start informed. Secure, HIPAA-compliant record sharing connects providers across the group without fax machines or phone tag.

Onboarding completion rose from 62% to 94% — demand the group had been paying to acquire and then losing. No-shows fell 68% with reminders and one-tap rescheduling.
Provider utilization improved 35%, and administrative time per patient dropped by 12 minutes, which across a 40-provider group compounds into entire staff-days recovered weekly. The group now serves meaningfully more patients with the same clinical team.
