/ 01 · The challenge

Large conferences were being run on spreadsheets and email. Registrations were processed by hand, speaker logistics lived in inbox threads, and sponsor deliverables were tracked in whoever's head was nearest.

The failure modes were public ones: registration errors at the door, speakers double-booked across rooms, sponsors discovering missed deliverables after the event. Every conference ended with an exhausted team and a list of things that almost went wrong.

/ 02 · The build

We built a comprehensive event automation platform covering the full lifecycle: registration with instant processing and confirmation, speaker submission and scheduling portals, sponsor coordination with deliverable tracking, and attendee communications across email, SMS, and the event app.

The scheduling engine enforces constraints structurally — a speaker cannot be assigned to two rooms, a room cannot hold two sessions — and pushes real-time schedule updates to every attendee's app the moment anything changes.

Registration processing went from two days to two minutes, and door-time registration errors disappeared with it. Speaker and room double-bookings ended entirely — the system will not create them.

Sponsor satisfaction rose 47% as deliverables started landing on time, every time, with proof attached. The company now handles 40% more attendees with the same staff, and its event-week posture shifted from firefighting to hosting.
