/ 01 · The challenge

Inbound work arrived across many channels at once: phone calls, text messages, web forms, and email — most of it landing on the owner's personal phone while he was on jobs. The team lost time hunting across platforms to find and route each request, and after-hours inquiries sat until someone surfaced.

In a home-services business, that lost time converts directly into lost revenue. A delayed response is usually a job that went to whoever answered first.

/ 02 · The build

We built and delivered a complete communications and dispatch platform the company owns outright. An AI text agent — trained on the owner's own message history so it answers in his actual voice — handles inbound texts: it responds immediately, qualifies the request, and offers appointment slots chosen for proximity to where the technicians already are, with double-booking protection built in. Missed calls ring through to the owner first; unanswered ones get a voicemail plus an automatic text-back from the business number, so the conversation starts before a competitor's phone rings.

The owner stays in charge by design: anything the AI can't or shouldn't handle escalates to his phone with full context, his replies automatically pause the AI on that thread so there is never a two-voices moment, and master switches let him turn the agent — or just its quoting or scheduling — off entirely. Customers who say stop are honored immediately, in whatever words they use. Around the agent we delivered the operating layer: a dispatch console, the company's full customer and contact base migrated in, recurring service-plan management with cadence-aware scheduling, appointment reminders, nightly summaries, and a companion mobile app for the owner and field technicians.

/ 03 · The results

The system is live in production, answering real customer conversations and booking real appointments — the first bookings came through the agent within days of turn-on. The owner runs the operation from his phone: new inquiries get an instant, on-voice response at any hour, escalations reach him with context, and the field team works from the app.

The company's entire customer base and recurring service schedule now live in a system it owns, rather than in one person's phone and memory.
