/ What changed
A monthly process of more than thirty manual steps collapsed into an automated pipeline with accuracy checks built in.
/ 01 · The challenge
A multi-clinician outpatient practice ran monthly payroll through a long manual process spanning several disconnected systems. Each cycle consumed significant administrative time, and every handoff between systems was a place where a number could be transcribed wrong.
The practice also had no clear view of performance across the business — the data existed, but not in any form anyone could actually look at.
/ 02 · The build
We built an automated payroll engine that pulls from the practice's existing systems, applies their specific pay rules and rate tiers, reconciles revenue figures for accuracy, and produces clean, checked output.
Alongside it we built a business-intelligence dashboard surfacing the practice's key operating metrics in one place, so the leadership view stopped depending on someone assembling it by hand.
/ 03 · The results
A monthly process of more than thirty manual steps became an automated pipeline. The accuracy checks matter as much as the time saved: discrepancies are caught before they reach payroll rather than discovered afterwards, when correcting them costs far more than catching them.
