Private AI or a hosted assistant?
Hosted assistants are the most capable and the easiest to adopt. Private deployments keep every document inside your own environment. Most businesses with confidential work end up using both, for different material.
| / Side by side | Private deployment | Hosted assistant on a business plan |
|---|---|---|
| Where documents go | Nowhere: the model runs in your environment | To the provider, under terms that exclude training |
| Capability | Strong for answering from your own documents | Strongest available, including the hardest reasoning |
| Cost shape | One-time build from $7,500, plus hardware at cost if on site | Per seat, per month, paid to the provider |
| Setup | A build | Days, with the AI workspace rollout |
| Upkeep | Yours, or ours under an optional care plan | The provider's |
| What you can show a client | The data never left your environment | The provider's contract terms and your settings |
Which one are you
When each is the right call
Hosted for everyday work
Drafting, summarising and research on material that is not privileged or regulated. Faster to adopt and more capable.
Private for the files that cannot leave
Privileged matter files, patient records and anything a client has told you must stay in house.
A written rule for which is which
The risk is not either tool; it is staff not knowing which to use. Every rollout we do includes a short policy that says so.
Questions
Questions
Is a hosted assistant ever acceptable for client data?
That is a judgment for your company under your own professional rules. We set out exactly where data goes under each option so the people responsible can decide.
Does private AI need a server room?
No. For most small firms it is one workstation-class machine, or a private cloud account in the company's name.
Can we start hosted and move to private later?
Yes. Many businesses start with a workspace rollout and add a private workspace for their confidential material afterwards.
